Position Overview

We are seeking a professional, organized, and detail-oriented Executive Assistant / Receptionist to support daily office operations for a fast-paced logistics and manufacturing company. This role serves as the first point of contact for visitors, customers, and vendors while also providing administrative support to leadership and internal teams.

The ideal candidate is highly organized, dependable, customer-service driven, and able to manage multiple priorities in a dynamic environment.

Key Responsibilities

Front Desk & Office Administration

  • Greet and assist visitors, clients, vendors, and employees in a professional manner
  • Answer and direct incoming phone calls and emails
  • Manage mail, shipments, deliveries, and office supply inventory
  • Maintain a clean, organized, and professional front office environment
  • Coordinate conference rooms, meetings, and office schedules

Executive & Administrative Support

  • Provide administrative support to leadership and management teams
  • Schedule meetings, appointments, and travel arrangements
  • Prepare reports, presentations, correspondence, and spreadsheets
  • Maintain filing systems, records, and confidential documents
  • Assist with onboarding paperwork, timekeeping, and other HR-related administrative tasks

Operations Support

  • Support logistics, purchasing, and production teams with administrative tasks
  • Enter and maintain data within ERP, inventory, or scheduling systems
  • Coordinate communication between departments, vendors, and customers
  • Assist with tracking orders, shipments, and operational documentation
  • Help ensure smooth day-to-day office and operational workflow

Qualifications

  • 2+ years of administrative, receptionist, office coordinator, or executive assistant experience
  • Experience in manufacturing, logistics, distribution, or industrial environments preferred
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, Teams)
  • Ability to prioritize tasks and manage multiple responsibilities efficiently
  • Professional demeanor with strong customer service skills
  • High attention to detail and organizational ability

Preferred Skills

  • Experience working with ERP or inventory management systems
  • Ability to work independently in a fast-paced environment
  • Strong problem-solving and multitasking skills
  • Comfortable interacting with leadership, vendors, and operational personnel
